About the Conference Center
During the dates of the conference, the room rate includes all meals and refreshment breaks beginning with lunch on Friday and ending with a morning break on Sunday, wireless and wired Internet access in all guest rooms, ground transfers to and from DFW Airport, and entrance to The Lakes Sports Club. The conference center also offers a fitness center, indoor and outdoor pools, basketball, sand volleyball, tennis courts, and its own private lake.
Travel Grant Recipients
Travel grant recipients are required to reside at the conference center Friday and Saturday nights. The room rate with meal package for Friday and Saturday nights is charged to AST prior to the meeting. Additional nights (early arrival and/or late departure) are charged to individuals at check-out and can be submitted for reimbursement following the meeting as part of the allowable travel grant limit.
Non-travel Grant Recipients
For those attendees staying at the conference center but not receiving a travel grant, the cost for the entire hotel stay must be billed to a personal credit card at check-out. Non-travel grant recipients are not required to reside at the conference center, but must pay a day rate fee for entry to the Fellows Symposium (see Day Rate section below).
How to Book
DO NOT MAKE ANY HOTEL ARRANGEMENTS UNTIL YOU RECEIVE INSTRUCTIONS FROM AST. Upon notification of travel grant/general meeting acceptance status, all accepted registrants will receive instructions from AST on booking accommodations. Those who have been awarded a travel grant will have their Friday/Saturday night stay automatically billed to AST and must provide a credit card number for additional nights and/or incidentals. Those who have NOT been awarded a travel grant but are still attending the meeting will provide a credit card at check-in to cover their entire stay. Non-grant recipients who do not wish to reside at the Hilton DFW Lakes will receive instructions for indicating their daily guest status and providing payment (see Day Rate section below).
Rates
Early Arrival and Late Departure Nights:
Thursday, September 22 and Sunday, September 25
• $149 plus taxes per night for single or double occupancy (room only, no meals)
Conference Nights:
Friday, September 23 and Saturday, September 24
(rates below for non-travel grant recipients)
• $258 plus taxes per night for single occupancy (room and meal package)
• $210 plus taxes per person, per night for double occupancy (room and meal package)
Day Rate
Non-travel Grant Recipients ONLY
This option is only available to meeting attendees who do not receive a travel grant and who do not wish to stay at the HiltonDFW Lakes Conference Center. These attendees must indicate prior to the meeting that they are attending the Fellows Symposium as a daily guest and pay the daily conference center fee of $279 plus taxes. This fee includes access to educational sessions and meals over the course of the meeting (am/pm refreshment breaks, continental breakfasts and lunches). Friday and Saturday dinners are not included. The package fee will be charged to daily guests prior to the meeting.
Guests/Family Members
The conference center provides a private, conference environment designed to promote interaction between attendees and faculty during sessions as well as meal and activity times. The nature of the program does not cater to families or guests and AST does not recommend bringing family members or guests to the Fellows Symposium. However, if you must bring family members or guests to the meeting, you must indicate prior to the meeting the number of guests you are bringing and pay the appropriate guest registration fee of $279 plus taxes. Guests are only permitted entry to group meal functions and are not allowed access to educational sessions. This guest policy will be strictly enforced on-site: a guest name badge will be required to enter all group meal functions. Guests who do not have a name badge and attend a meal function will be required to pay the guest registration fee onsite.
Special Needs
AST fully complies with the legal requirements of the Americans with Disabilities Act.
